Privacy notice

What this platform collects, why, how long it is kept, and what you can ask us to do about it. The short version: we collect very little, we do not sell anything, and there are no advertising trackers on this site.

What we collect

Information you give us

If you use the enquiry form, write to info@whab.digital, or telephone the editorial desk, we hold what you send: your name, your email address, an organisation if you provide one, and the content of your message. If you become an institutional member we hold the contact and billing details needed to administer the membership.

Information collected automatically

Our web server records standard request logs: the page requested, the date and time, the HTTP status, the referring page where the browser supplies one, a general browser and operating system description, and a truncated IP address. Addresses are truncated at the point of logging so that a full address is never written to disk. Logs are used to keep the service running and to understand which material is used; they are not combined with anything you send us.

What we do not collect

No advertising identifiers. No cross-site tracking. No behavioural profiles. No biometric or location data beyond the coarse region implied by a truncated address. No third-party analytics or social media scripts run on these pages.

Part 3

Why we use it, and on what basis

To answer you
Correspondence is used to reply, to investigate a reported error, and to follow up if a correction publishes. Basis: your consent, given by writing to us.
To operate the service
Server logs are used to diagnose faults, respond to abuse and manage capacity. Basis: our legitimate interest in running a stable public service.
To improve the material
Aggregate usage patterns tell us which panels are read and which explanations are not working. Basis: legitimate interest. This analysis is aggregate only.
To administer memberships
Contact and billing details are used to invoice and to keep members informed about the service they pay for. Basis: performance of a contract.
To meet legal obligations
Financial records are retained as Canadian law requires. Basis: legal obligation.
Part 4

How long we keep it

  • Enquiry correspondence: two years from the last message in the thread.
  • Error reports and their outcomes: seven years, because the revision log depends on them.
  • Accessibility barrier reports: three years, or until the finding is closed and published, whichever is later.
  • Server logs: ninety days, then deleted.
  • Membership and financial records: seven years, as required by Canadian law.

Who else sees it

Personal information is shared only with the service providers needed to operate the platform: our hosting provider, which stores server logs on our behalf, and our email provider, which handles correspondence. Both are bound by contract to process information only on our instructions. Data is held in Canada where the provider offers a Canadian region.

Two exceptions apply. Google Fonts serves the typefaces used on these pages, and one page — the contact page — embeds a Google Maps frame. Both involve a request from your browser to Google, which will see your IP address and standard request headers. The map frame loads only on that page and only when you scroll to it. No other third-party service is contacted from this platform.

We will disclose information where a Canadian court, tribunal or law enforcement body compels it. Where we are permitted to tell you that this has happened, we will.

Part 6

Your rights

Under Canadian federal and provincial privacy law, including PIPEDA, you may ask us to confirm whether we hold personal information about you, give you access to it, correct it if it is inaccurate, delete it where we have no continuing obligation to keep it, or explain how it has been used and to whom it has been disclosed. You may also withdraw consent, though this may mean we can no longer answer an open enquiry.

Write to info@whab.digital or to the postal address below. We respond within thirty days. If you are unsatisfied with our response you may complain to the Office of the Privacy Commissioner of Canada.

Changes to this notice

This notice is reviewed annually and whenever the platform changes in a way that affects it. Material changes are announced in the newsroom alongside everything else that changes here. Previous versions are retained and available on request. This is version 3.1, in force from 1 April 2026, superseding version 3.0 of 12 May 2025.
